Passport renewal is one of those things every NRI in the UK eventually faces. And until you actually go through it, the process feels more complicated than it needs to be.
The good news? Once you understand the steps, it’s fairly straightforward. The bad news? One wrong document, one incorrect photo, or one missed detail can delay your application by weeks.
I’ve compiled everything from our WhatsApp community experiences – real feedback from NRIs who’ve gone through this process recently in 2025-2026.

Who Handles Indian Passport Renewals in the UK?
Three Indian missions serve Indian citizens in the UK:
High Commission of India (HCI), London – Covers London and surrounding areas
Consulate General of India (CGI), Birmingham – Covers central England (Birmingham, Manchester, Leicester, Liverpool, Bradford)
Consulate General of India (CGI), Edinburgh – Covers Scotland (Edinburgh, Glasgow)
All three missions use VFS Global as their authorized service partner. You don’t go to the embassy or consulate directly. You go to a VFS Global centre.
VFS Global centres in the UK include London, Birmingham, Manchester, Leicester, Liverpool, Bradford, Edinburgh, and Glasgow.
Important: When filling the online form, you MUST select the correct jurisdiction based on where you live – “UK-London”, “UK-Birmingham”, or “UK-Edinburgh”. Selecting the wrong one can cause rejection.
Your passport has already expired (up to 3 years ago without additional complications)
You’ve run out of blank visa/stamp pages
You need to update personal details (name change after marriage, address change)
Your passport is damaged
You’re turning 18 and need an adult passport
My advice: Start the process when you have 6-12 months of validity remaining. Don’t wait until it expires. An expired passport complicates things.
If your passport expired more than 3 years ago, you may need to provide a self-explanation letter and face additional verification. The earlier you act, the simpler it is.
The Complete Step-by-Step Process
Here’s the full process from start to finish.
Step 1: Fill the Online Application Form
Visit the Passport Seva portal for embassies: embassy.passportindia.gov.in
(Do NOT use the regular passportindia.gov.in portal – that’s for applications within India.)
Register as a new user (if you don’t have an account)
Log in and select “Apply for Reissue of Passport”
Select your mission: “UK-London”, “UK-Birmingham”, or “UK-Edinburgh” based on where you live
Fill in all personal details, family details, and previous passport information
Double-check everything against your current passport – name spelling, date of birth, passport number. Even a small mismatch can cause delays or rejection.
Submit the form online
Note your ARN (Application Reference Number) – you’ll need this for your VFS appointment
Print the completed application form
Sign the printed form
Paste one passport-size photo on the printed form
Community tip: Fill the form on a laptop, not your phone. The portal can be glitchy on mobile browsers. Save your progress regularly.
Step 2: Gather Your Documents
This is where most people stumble. Missing or incorrect documents are the number one reason for delays.
Documents required for standard passport renewal:

Printed and signed application form (from Step 1)
Current/expired Indian passport (original)
Self-attested photocopies of the first page, last page, and all pages with stamps/visas/observations of your current passport
Self-attested photocopies of any previous passports (if you have them)
Valid UK visa / BRP (Biometric Residence Permit) – original + self-attested copy
UK address proof (any ONE of the following, not older than 3 months):
Council tax bill
Utility bill (gas, electricity, water)
Bank statement
UK driving licence
Tenancy agreement
Two recent passport-size photographs (see photo specifications below)
Annexure E form (self-declaration, printed and signed)
VFS Declaration Form (printed and signed)
Additional documents for specific situations:
Name change after marriage: Marriage certificate (original + copy), spouse’s passport copy
Name change (other reasons): UK Deed Poll or Statutory Declaration + supporting evidence
Minor’s passport: Birth certificate, both parents’ passports, consent letter from non-accompanying parent
Lost/Stolen passport: FIR from UK police, Annexure L (loss/theft declaration), two additional ID proofs
Damaged passport: Annexure G (damaged passport declaration)
Self-attestation is mandatory. Write “Self-attested” and sign on every photocopy. VFS will reject documents without self-attestation. This catches people off guard every time.
Incorrect photos are the second most common reason for rejection. Indian passport photo specifications are different from UK passport photos.
Indian passport photo specifications:
Size: 51mm x 51mm (2 inches x 2 inches)
Background: Plain white
Face coverage: 70-80% of the photo
Full face, front view, eyes open
No glasses (even prescription glasses)
No headgear (except religious headgear)
Matt or semi-matt finish
Recent (taken within the last month)
Identical (both photos must be the same)
Where to get Indian-spec photos in the UK:
Most Boots pharmacies and Snappy Snaps offer passport photo services. Specifically tell them you need “Indian passport photos – 51mm x 51mm with a white background.” If you just say “passport photos,” they’ll give you UK-spec photos (which are smaller and have different requirements).
Community tip: Don’t wear white clothing for the photo. It blends with the white background and can cause issues.
Step 4: Book Your VFS Appointment
Go to the VFS Global UK website: services.vfsglobal.com/gbr/en/ind/
Link your ARN (from Step 1)
Choose your nearest VFS centre
Select a date and time
Walk-ins are NOT accepted. Appointment is mandatory.
Booking tips:
During peak seasons (summer holidays, Diwali period, December), appointments fill up fast. Book as early as possible.
Appointments themselves are free. If anyone charges you for “booking” an appointment, it’s a scam.
You can only book after completing the online form and getting your ARN.
Step 5: Visit the VFS Centre
On the day of your appointment:

Printed and signed application form (with photo pasted)
All original documents
All self-attested photocopies (in a separate folder)
Two passport-size photos
All additional forms (Annexure E, VFS Declaration)
Debit/credit card for fee payment
What to expect:
Arrive 15 minutes before your slot
Only one family member is allowed inside. No friends or agents.
VFS staff will verify your originals against the photocopies
They’ll retain your photocopies (and your old passport in most cases)
Biometrics (photo and fingerprints) will be captured
You’ll pay the fees at the centre
You’ll receive an acknowledgement receipt with a tracking number
Total time at the centre: 30-60 minutes (can go up to 2 hours during peak times).
Important: Your old passport will be retained by VFS during processing. You CANNOT travel internationally while your renewal is being processed. Plan accordingly.
Step 6: Pay the Fees

Community advice: DX Secure delivery is recommended over Royal Mail. Costs a bit more, but it’s trackable and secure. Many NRIs in our group have reported Royal Mail delays or even misdelivery.
Step 7: Track Your Application
After submission, track your application at:
VFS tracking: Through the VFS Global UK website using your reference number
Passport Seva tracker: Using your ARN
You’ll receive SMS and email updates at each stage:
Application received at VFS
Application forwarded to Indian mission
Application under review
Passport printed/dispatched
Ready for collection or shipped
Standard processing time: 4-6 weeks from submission date.
Delivered to your UK address via courier (Royal Mail or DX Secure, based on your choice)
Available for self-pickup at the VFS centre (only at select centres)
When you receive it, immediately verify:
Name spelling
Date of birth
Place of birth
Passport number
Validity dates
Photo
If anything is wrong, report it to VFS within 24 hours. Errors do happen, and catching them early is crucial.
e-Passport Update (December 2025)
India launched its electronic passport (e-Passport) program in 2025.
The CGI Birmingham began issuing e-Passports to UK residents in December 2025.
What’s an e-Passport?
It’s a passport with an embedded chip that stores your biometric data (photo, fingerprints). This enhances security and allows faster immigration processing at e-gates worldwide.
What you need to know:
e-Passports are being rolled out gradually. Not all VFS centres may issue them yet.
If you receive a standard (non-electronic) passport now, it remains fully valid. You don’t need to rush for an e-Passport.
You don’t need to apply separately for an e-Passport. If your VFS centre is issuing them, you’ll get one automatically.
When your current passport expires, you can apply for an e-Passport at that time.
No need to panic or do anything special. The transition is happening automatically.
Tatkal (Emergency) Passport Service
Need your passport urgently? The Tatkal service offers faster processing.
Eligibility:
All Indian citizens in the UK with a valid passport and valid UK visa status
Not eligible: Lost/stolen passport cases, major name/date-of-birth changes, certain complex cases
Processing time: 1-2 weeks (officially 3-5 working days, but realistically allow 1-2 weeks).
Additional fee: Approximately £40-50 more than normal processing.
Additional documents needed for Tatkal:
Two additional Indian ID proofs (original + self-attested copies). Acceptable IDs include:
PAN card
Aadhaar card (if you have one)
Indian driving licence
Voter ID
Bank passbook with photo
Important: You CANNOT switch from normal to Tatkal after submitting your application. You must choose Tatkal at the beginning when filling the online form.
Community warning: Tatkal processing time is NOT guaranteed. During busy periods, it can still take 2-3 weeks. Don’t book non-refundable flights assuming Tatkal will deliver on time.
Special Situations
Passport Originally Issued in India
If your current passport was issued by a Passport Seva Kendra in India (not by an Indian mission in the UK), your renewal application may trigger police verification in India.
This can add 30+ days to your processing time.
There’s nothing you can do to avoid this – it’s automatic based on where the passport was originally issued. Just be aware and plan extra time.
Community tip: If you know your passport was issued in India and you’re not in a rush, apply for normal processing (not Tatkal). Tatkal with police verification still takes weeks, and you’ll have paid the premium for nothing.
Expired Passport (Up to 3 Years)
You can renew within 3 years of expiry with a self-explanation letter stating why you didn’t renew earlier.
Beyond 3 years, additional verification may be triggered. The process is still possible but takes longer.
Lost or Stolen Passport
This is a more complex process:
File an FIR (First Information Report) with UK police immediately
Get a police report/crime reference number
Fill Annexure L (loss/theft declaration)
Processing time: 6-8 weeks minimum
Two additional Indian ID proofs required
You may also need to apply for an Emergency Certificate if you need to travel before the passport is ready
Minor’s Passport Renewal
Both parents’ consent is required. If only one parent is accompanying the child to VFS:
Written consent from the other parent
Copy of the other parent’s passport
If parents are separated/divorced: Court order specifying custody
If the child was born in the UK and holds dual nationality, additional documentation may be needed.
Name Change After Marriage
Common scenario for many NRI women. You’ll need:
Marriage certificate (original + copy)
Spouse’s passport copy
In the online form, enter your NEW name (the name you want on the passport)
The old passport shows your maiden name – the new one will reflect the updated name
Important: If you’re also changing your name on other UK documents (driving licence, bank accounts), do those in parallel to avoid mismatches.
Common Mistakes That Cause Delays
Based on real experiences from UK-based NRIs in our community:
1. Submitting UK-style passport photos instead of Indian-spec photos
UK photos are 35mm x 45mm with grey/cream background. Indian photos are 51mm x 51mm with white background. This mismatch is the single most common rejection reason.
2. Not self-attesting photocopies
Write “Self-attested” and sign on EVERY photocopy. Not optional. Not negotiable.
3. Selecting the wrong jurisdiction on the online form
If you live in Manchester, select “UK-Birmingham” not “UK-London.” Double-check VFS centre jurisdiction mapping.
4. Mismatches between online form and passport
If your current passport says “KUMAR” but you typed “Kumar” in the form, this can flag a mismatch. Copy details exactly as they appear.
5. Forgetting to bring originals
VFS needs to verify originals against your photocopies. Bringing only copies is not enough.
6. Not printing the Annexure E and VFS Declaration Form
These are separate documents you need to download, print, sign, and bring. The online application alone is not sufficient.
7. Booking travel before passport arrives
Your old passport is retained during processing. You cannot travel internationally. Never book non-refundable flights until your new passport is in your hands.
8. Letting your passport expire before applying
Applying with an expired passport adds complexity. Apply while it’s still valid (within 12 months of expiry).

After You Receive Your New Passport
A few things to do once your renewed passport arrives.
1. Update your BRP/visa records
Your UK visa or BRP is linked to your old passport number. Check with the UK Home Office about updating your passport details in their system. In many cases, you can carry both old and new passports when traveling through UK immigration.
2. Update your bank, employer, and other records
Notify your bank, employer, GP surgery, HMRC (if applicable), and any other institutions that have your passport on file.
3. Transfer visas if needed
If you have valid visas in your old passport (Schengen, US, etc.), check whether the issuing country requires a visa transfer or accepts carrying both passports. Rules vary by country.
4. Update your OCI card (if applicable)
If you hold an OCI card as well as an Indian passport (for a family member who is OCI), check if the OCI card needs updating with the new passport details.
5. Keep your old passport safe
Your old passport will be returned to you (cancelled with holes punched through it). Keep it. It serves as proof of your travel history, previous visas, and immigration stamps.

Quick FAQ
Q: Can I renew my Indian passport fully online from the UK? No. The application form is filled online, but you must visit a VFS centre in person for document submission and biometric capture. Fully online renewal is not available.
Q: How early can I apply for renewal? Up to 1 year before your passport’s expiry date. Don’t wait until the last minute.
Q: Can someone else submit my application at VFS? Generally no – you must attend in person for biometric capture. Exceptions exist for minors, elderly, or medically unfit applicants with proper documentation.
